Job Brief:

Office Manager is involving a wide range of responsibilities that are crucial for the smooth operation of an office. This includes managing administrative tasks, coordinating office activities, and supporting various departments to ensure efficient workflow. Additionally, an Office Manager is responsible for managing the CEO's schedule, which is a significant aspect of their role as it contributes directly to the executive team's success and productivity.

Job Responsibilities:

  • Oversee daily administrative activities such as managing office supplies, equipment, kitchen supplies and facilities.
  • Serve as the point of contact between management, employees, clients, and external partners.
  • Take on special projects as assigned by management.
  • Execute the company's employees experience activities, including company events, gifts, swag etc. and maintain employees moral and satisfaction.
  • Support the onboarding/off-boarding processes and serve as the focal point for employees' queries.
  • Oversee the IT services for all employees through managing the company's external IT services.
  • Coordinate and manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Plan and coordinate events, board meetings, and other gatherings involving the CEO.

Skills:

  • Ability to prioritize tasks and manage time effectively.
  • Strong verbal and written communication skills.
  • Ability to work well with others and foster a positive work environment.
  • Capacity to anticipate issues and proactively address them.
  • Proficiency in office software (e.g., MS Office Suite) and familiarity with office equipment.
  • High level of English- must

Experience:

  • Previous experience in administrative roles, ideally with increasing responsibility.
  • Experience in a supervisory or managerial capacity, overseeing staff and operations.
  • Experience in scheduling and calendar coordination.
  • Academic education in business administration or a related field.
